Rhythmlink Turned a Decade of Salesforce Chaos Into a Clean SYSPRO Integration with Commercient

Rhythmlink had run on Salesforce for over a decade, but for most of that time nobody owned administering it: 11 employees held full admin rights, duplicate hospital accounts piled up, and reps sometimes created brand-new records rather than searching for ones that already existed. When Michael Brown took over running Salesforce, he spent roughly three years cleaning up duplicates and workarounds before the system was stable enough to build on.
Meanwhile, order and manufacturing data lived separately in Rhythmlink's SYSPRO ERP, so setting up a new account meant typing the same information into SYSPRO, the quoting system, and Salesforce individually, a process that could take an hour and a half per account and multiplied every week as new accounts came in.
Solution
Once Salesforce was cleaned up, Rhythmlink worked with Commercient to build a sync between SYSPRO and Salesforce so a new account only had to be entered once and would share across both systems. Because the employees responsible for SYSPRO were understandably protective of direct system access, Brown and Commercient started deliberately, syncing account information first, with a permission checkbox that lets Rhythmlink control which accounts get shared, and expanding gradually as trust in the integration grew. Commercient's team walked the rollout through a methodical, phased process, keeping stakeholders informed at each step along the way.

Results
New accounts now only need to be entered once instead of three times, eliminating an hour and a half of duplicate typing every time Rhythmlink starts doing business with a new hospital or research center. The trust built through that careful rollout has opened the door to what's next: Brown is now working on syncing account-specific shipment history into Salesforce so sales reps can see exactly what a hospital has ordered without digging through SYSPRO, with invoice-level detail planned as the company's comfort level grows. Brown estimates the shift toward automation will eventually save him several hours a month currently spent manually loading historical account data.
