Direct Sign Wholesale runs all of its quoting and invoicing through QuickBooks Desktop, kept on its own server rather than QuickBooks Online for added security, while the sales team works out of HubSpot. Before the two were connected, a rep who wanted to know a customer's estimate or invoice status had to leave HubSpot, dig through QuickBooks, or call accounting and wait for someone to pull it up, often juggling multiple screens to piece together one customer's full picture.
Solution
Commercient built a bridge that moves customer, estimate, and invoice information from QuickBooks Desktop into HubSpot automatically, so reps can see who to call and follow up with without leaving their CRM or interrupting accounting. Invoice data syncing in also closes out the job on the automation side and shows reps how often a given account actually orders, letting them tell a customer that orders 300 times a year apart from one that orders three or five.
It gives them quicker visibility to make them more efficient on their job, to where they can actually get a little more done during the day, instead of the back and forth, back and forth with accounting.
Results
Reps now work from a single screen instead of three, and John Lewis estimates that visibility translates into 5 to 10% more getting done per rep each day compared to the old back-and-forth with accounting. Order frequency synced in from QuickBooks also gives the sales team a clearer read on which accounts are worth the most attention, since a sign company that places 300 orders a year looks very different from one that places a handful.
